Rates & Policies
The
following information provides a general overview of Willow
Cove's rates and policies. Clients will be required to sign a
contract to secure a date. The contract agreement will
provide further detail about these and other policies.
Rates

Non-Wedding Events
For non-wedding events, our rental fee is simply $100
per hour. Renters will need to include time for
set-up in their planning as well as the actual time that
the guests will be present.

Weddings
Our rate for weddings is a flat fee of $1,100.
The following payment guidelines pertain specifically to
weddings:

Willow Cove requires a
non-refundable deposit of $200 and a signed contract
to secure the date of your event.

A breakage/security
deposit of $250 will also be required. It should be
written as a separate check so that it may be
returned to you by mail if no damage occurs to the
house or grounds and if all terms of the contract
are met.

The balance is due in
two (2) payments. The first 50% installment is due
four (4) months prior to the event. The remaining
balance is due ten (10) business days prior to the
event.
Cancellation
In the unfortunate
event of a cancellation or postponement, Willow Cove will
work with clients on a case-by-case basis,
attempting a fair resolution. If a cancellation is made less
than four (4) months in advance of the event, the client will be held
responsible for 50% of confirmed charges. The client
will be responsible for 100% of confirmed charges if the
cancellation occurs within five (5) business days of the
event. For acts of God/Force Majeure, including hurricanes,
earthquakes, and fire, the decision will be made regarding
whether to postpone, cancel, or continue as discussed and
agreed upon by the client and Willow Cove.
Number of Guests
In the event of
inclement weather, no more than 250 people can be
accommodated by Willow Cove. Your event experience,
therefore, will be enhanced if the number of guests does not
exceed this limit. Please notify Willow Cove of the maximum
number of guests one week prior to your event.
Event Set-Up
The following
guidelines pertain to set-up, but please ask us if you need
special accommodation:

Set-up may begin at 10:00
a.m. on the day of your event.

Rentals and deliveries are
to be made on the day of the event.

Tents are allowed in many
locations on the Willow Cove property.

All guests must depart
Willow Cove by 12:00 a.m.

All personal and/or rental
items and decorations must be removed from the house,
grounds, and garden areas no later than 10:00 a.m. on
the day after your event.

Items left longer than
seven (7) days will be discarded.

The client assumes
responsibility for any and all damages and any necessary
excessive clean-up.
Furniture and Decorative Items
Porch and garden
furniture and other decorative items may not be moved by
anyone but Willow Cove personnel.
Wedding Coordinators & Event
Planners
A Willow Cove caretaker
will be on-site during your entire function, but we also
recommend that you hire a wedding coordinator or event
planner to assist with planning your wedding or event. If
they are new to Willow Cove, event planners and wedding
coordinators should visit the site well before the event.
Caterers
Professional caterers are
suggested. First-time caterers should preview the site
several weeks in advance of the event. No kitchen facilities
are provided; therefore, it will be necessary for the
caterer to supply their own trailer for food prep. All
serving equipment, trash bags, paper towels, dishes,
glassware, flatware and all supplies need to prepare and
serve food must be supplied by the caterer or renter and
removed at the end of the event. The caterer is responsible
for bagging all garbage and disposing of it in the dumpster
that is provided on site.
Alcohol
Alcohol may be served on the
porch and grounds. If you have a bar, you must have a
bartender (professional or amateur). The bartender should
start closing by 11:00 p.m. in order to stay within the time
frame allowed. The bartender is responsible for bagging all
garbage and disposing of it in the dumpster that is provided
on site.
Music
Due to local noise
ordinances, all music must end promptly at 11:00 p.m.
Photography
Bridal and engagement
portraits or other professional photographs may be taken at
Willow Cove for a fee of $200. Fees do not include a
photographer.
Confetti, Fireworks, etc.
To protect Willow
Cove's natural environment, clients may not use fireworks,
sparklers, confetti, rice, artificial flowers and/or
birdseed during events. Bubbles and genuine flower petals
are allowed.
Smoking
Smoking is not
permitted on the porch. For the safety of your guests, no
type of open flame is permitted on the grounds. If you have
smokers as guests, please provide ashtrays for them.
Wedding Rehearsals
There is no additional
fee for a 90-minute rehearsal. The rehearsal must be
scheduled at the same time that you schedule your wedding
ceremony. The rehearsal must be completed before 2:00 p.m.
on the day before the wedding.
